Why HubSpot's free tier matters
HubSpot's free CRM is one of the most downloaded CRMs in the world, and it's free for a reason: it's HubSpot's sales funnel. Get you onto the platform, then upgrade you to Starter ($20/user/month), Professional ($100+/user/month), or Enterprise ($150+/user/month).
The free tier is real — not a 30-day trial. You can use it indefinitely with real limits. Here's what you actually get.
What HubSpot Free includes
Contacts and companies
- Unlimited contacts. This is genuinely uncapped. You can store 100 contacts or 1,000,000.
- Unlimited companies. Same.
- Unlimited deals. Sales pipeline is free.
- Unlimited custom properties. Add any fields you want.
- Unlimited users. Your whole team can use it.
This is the strongest part of the free tier. You get a real CRM infrastructure at zero cost.
Basic features
- Email tracking and notifications (limited to 200 opens/clicks tracked per month on free)
- Meeting scheduler (1 meeting link per user)
- Live chat (with HubSpot branding)
- Email templates (5 shared templates per account)
- Documents (5 per user — track opens/views)
- Snippets (5 per user — reusable text blocks)
- Quotes (basic quote generation, HubSpot-branded)
- Forms (unlimited on free, but with HubSpot branding + captcha)
- Landing pages (limited to 1 on free tier)
Marketing basics
- Email marketing (2,000 email sends/month on free)
- Blog (basic blog hosting, HubSpot-branded)
- Simple reporting (10 custom dashboards max on free)
- Contact tracking and lists (20 active lists + 20 static lists)
Where the walls are
HubSpot's paywalls are designed to hit growing teams at predictable moments.
Wall 1: Workflows
Free: No workflows (automation). Starter ($20/user/month): Simple workflows only (email-based sequences). Professional ($100+/user/month): Full workflow engine with branching logic.
This is usually the first wall. Without workflows, you can't automate "new lead → send sequence → task to rep" flows. You're doing it manually or using Zapier to trigger external automation.
Wall 2: Email send volume
Free: 2,000 sends/month total account-wide. Starter: 5x contact tier (10,000 sends for 2,000 contacts). Professional: 10x contact tier.
If you send marketing emails to even a modest list (500+ contacts), free tier runs out by mid-month.
Wall 3: A/B testing
Free/Starter: Not available. Professional+: Included.
If you care about optimizing email subject lines, landing page copy, or CTA variants, you need Professional.
Wall 4: Custom reporting
Free: 10 dashboards, limited report types. Starter: Still limited. Professional: Custom reports, calculated properties, sales analytics.
Free tier reports don't show funnel conversion rates, cohort analysis, or custom calculated fields.
Wall 5: Sequences (sales)
Free: No sales sequences. Starter: 5 sequences/user. Professional: 1,000 sequences/user.
Sales sequences are the personal outbound feature. Free tier only lets you send individual emails or use marketing email tools.
Wall 6: Calling
Free: 15 minutes/user/month of inbound calling via HubSpot. Starter: 500 minutes/user/month. Professional: 3,000 minutes/user/month.
If your sales team uses HubSpot's native dialer, you hit this wall fast.
Wall 7: Custom fields on forms
Free: Standard fields + custom fields (limited). Starter+: Progressive profiling, smart content, dependent fields.
What HubSpot Free does NOT include
- No automation workflows (a huge gap)
- No SMS (HubSpot doesn't have native SMS even on paid tiers, unlike GoHighLevel)
- No sales sequences
- No A/B testing
- No custom reporting
- No removal of HubSpot branding from forms/chat/landing pages
- Limited email tracking (200/month cap)
- 1 landing page only
When free tier is enough
- Solo operator or 2-person team with <500 contacts. Free tier is genuinely enough.
- Pre-revenue startup validating a market. Don't pay for a CRM before you have customers.
- Side project tracking a small network. Free is fine.
- Manual sales process with <20 deals/month. You don't need automation yet.
When you'll outgrow free
- You need workflow automation. This happens around 50-100 active contacts or when you start multi-touch sequences.
- You need more than 2,000 marketing emails/month. This happens at ~400-500 contacts with weekly newsletters.
- Your branding matters. HubSpot-branded forms/landing pages look unprofessional for B2B service businesses.
- You have 3+ team members. Coordination across reps requires workflow automation.
Typical upgrade path: Free → Starter ($20/user/month) when you need workflows. Starter → Professional ($100+/user/month) when you need full marketing automation + reporting.
HubSpot Free vs. GoHighLevel
Both target SMB, but different philosophies.
HubSpot Free wins when
- You're a B2B company with traditional sales cycle (no SMS/calling heavy)
- You need a polished, familiar interface for your team
- You have technical buyers who use spreadsheets and web apps
- You want unlimited users and contacts for free
GoHighLevel wins when
- You do SMS + phone outreach as core channels (GHL has native SMS; HubSpot doesn't)
- You're a home services, solar, real estate, or local business
- You need everything in one tool (CRM + SMS + calls + pipelines + calendar)
- You're willing to pay $97-$297/month instead of per-user pricing
For most service businesses, GHL at $97/month is a better fit than HubSpot Free + inevitable upgrades to Professional ($500+/month).
HubSpot Free vs. Other Free CRMs
Zoho CRM Free
3 users max, basic features. Lighter than HubSpot.
Bitrix24 Free
12 users, more features but harder UX.
Agile CRM Free
10 users, 1,000 contacts. Limited compared to HubSpot.
EngageBay Free
15 users, 250 contacts. Very limited.
HubSpot Free is the most feature-complete free CRM, despite its paywalls. Other free options have tighter limits on users and contacts.
The upgrade trap
HubSpot's pricing jumps are meaningful:
- Free → $20/user/month (Starter): reasonable
- Starter → $100/user/month (Professional): 5x jump
- Professional → $150/user/month (Enterprise): moderate
A 5-person team on Professional = $500/month just for Sales Hub. Add Marketing Hub Pro ($890/month at 2,000 contacts) and Service Hub Pro ($100/user/month), and you're at $2,000+/month.
This is why many SMBs pick HubSpot Free → run into workflow wall → upgrade to Starter → run into A/B testing wall → consider upgrading to Pro → sticker shock → migrate to GHL or ActiveCampaign instead.
My honest recommendation
Use HubSpot Free if:
- You're pre-revenue or solo
- You're a B2B company with low-volume outbound
- You want to validate HubSpot's UX before committing to paid
Upgrade to Starter if:
- You need workflow automation but can live without full marketing tools
Skip HubSpot entirely if:
- You're a service business (GHL is a better fit)
- You'll need Pro tier features and the $500+/month pricing is a stretch
